How to book

Please find following important information about how to book your holiday with ChaletBook Limited.

Step 1 - Call to place a hold

What we will ask you for:
All that we require from you is a few contact details, including:
  • lead guest name
  • e-mail address
  • mobile telephone number

How do I reserve a property while I decide?

To place an option, sometimes called a "Hold" on a property or rooms, please give us a call on 0845 680 680 2 (UK number). We will acknowledge your request for the rooms and then we will confirm the hold via e-mail. A hold is normally available for 24-48 hours but this does depend on the property.
Please be aware, there are times when holds will be unavailable, such as last minute bookings or peak weeks of activity.

Do I get a booking reference?

Correspondence from ChaletBook always refer to a booking reference in the subject line of our e-mails. This is your booking reference, which is a 3-letter and 6-digit code such as ABC-345789. This is the single reference we will use for your entire booking, and you may wish to make a note of it, or save the e-mail.

How is my hold confirmed to me?

Holds are confirmed by e-mail. While we strive to maintain our availability at all times, it is not always possible when properties are being reserved and marketed by multiple agents. Be aware that your hold is not confirmed until you have received the e-mail from us specifying the date and duration of the hold.
It is important for you to wait for this e-mail before booking flights or making arrangements that cannot be cancelled.

Step 2 - Convert the hold into a booking

What we will ask you for:
To convert the hold into a booking, as well as the details listed above we will need:
  • postal address
  • the total number of guests
  • the age of all children
  • any room requests

How do I go ahead and book my holiday?

To convert a confirmed hold into a booking, all we require is notification either on the phone, or in writing. You can either call us on 0845 680 6802 (UK number) or e-mail us at reservations@chaletbook.net.
At this time, we will need to take complete contact details for yourself, or the lead guest of the group. This involves just a few simple contact details so that we can appropriately address invoices.
We will also take the specific details of the booking, including (where appropriate) which rooms you would like to occupy in the chalet, your date of arrival and date of departure, and the ages of any children for applicable child discounts.

Step 3 - Payment of a deposit

What we will ask you for:
To process the deposit, we require:
  • Card payment details

How much do I have to pay up front?

At time of booking, a deposit of 30% of the total booking cost is due. However, if your arrival date is within 8 weeks of time of booking, then the full amount is due immediately.

What methods can I use to pay?

Each operator prices their product in either GBP or EURO currencies. The mechanisms available to you to pay differ depending on which currency is being used.
We will process the transaction in the currency quoted to you in your booking invoice. Your credit or banking provider will determine what currency conversion rate they use to determine the figure deducted from your card.
To be clear - when paying in a foreign currency, the exchange rate is determined by your bank, not ChaletBook.
Payments in BRITISH POUNDS: Payments in GBP can be made by Visa Card, Master Card, UK Maestro, UK Visa Debit. There is a 2% credit card fee applicable to Visa Card or Master Card.
Payments in EUROS: Payments in EUROS can be made by Visa Card, Master Card. There is a 2% card fee applicable to Visa Card or Master Card.
Unfortunately, we cannot accept Bank Transfers, Visa Electron, American Express, Solo or cheques.

Things you should know

  • We are proudly paperless. All our invoices, confirmations and customer correspondence is electronic, and we ask you to think carefully before printing it. We do not send paper copies of our invoices.

  • Our availability is correct at time of publishing. We are dealing with many individual boutique chalets who each maintain their availability in their own way, and as such we are unable to confirm that our published availability remains accurate at all times. Availability charts are updated multiple times every day, and we will always endeavour to ensure that it reflects actual availability. To be 100% certain, please call or make an enquiry.

  • We are an agent for accommodation, not an accommodation provider. This means that your contract of accommodation is with the chalet owner or operator and not with ChaletBook.

  • We are unable to take bookings or payments online. Due to the individual and group requirements, as well as unique room arrangements and dealing with multiple providers, we are unable to take bookings online.
